Books
Books is Thoshika's accounting app for small and growing Indian companies. It keeps a double-entry ledger with a Schedule III chart of accounts, issues GST invoices, records bills and payments, reconciles bank accounts and prepares GST and TDS returns for upload to the government portals. Because it shares a platform with People, payroll and expense claims post to the ledger automatically.
Who uses it
- Finance admins own settings, approvals, period locks and the complete books.
- Accountants post vouchers, invoices and bills, reconcile banks and prepare returns.
- Bookkeepers enter day-to-day transactions, optionally limited to some GSTINs or branches.
- External CAs review the books, leave review notes and switch between client companies from one console.
- Viewers read reports without changing anything.
Before you start
- Create your company and switch Books on. See the Quick start.
- Collect each GST registration (GSTIN and state), your PAN and TAN, and your bank accounts.
- Prepare opening balances: a trial balance as at your start date, open customer and vendor items, stock and fixed assets.
- If you are moving from Tally, export your masters and vouchers as Tally XML.
- Decide who will hold the finance admin, accountant and bookkeeper roles.
Set up
- Review the chart of accounts. Books starts with a Schedule III chart. Add sub-accounts and rename accounts as needed.
- Add GST registrations. Add each GSTIN with its branch and invoice series. Documents pick the GSTIN they belong to.
- Load masters. Import customers, vendors and items from CSV or Tally XML, with GSTIN, PAN, HSN or SAC codes and GST rates.
- Enter opening balances. Use the opening balances wizard for the trial balance and open receivables and payables.
- Connect banks. Add bank, cash and card accounts, then import a first statement and set up bank rules.
- Set controls. Choose approval thresholds for journals, invoices, purchase orders and bills, credit control mode and the period lock date.
- Invite your team and CA. Assign roles, limit bookkeepers to GSTINs or branches if needed, and invite your external CA.
- Link payroll. If People is on, review the mapping of pay components to ledger accounts.
Key workflows
Invoice and collect
- Create an estimate, sales order or delivery challan, then convert it into a tax invoice. GST is split into CGST and SGST or IGST from the place of supply.
- For e-invoicing, export the invoice JSON, upload it on the government portal and import the response; the IRN and signed QR then print on the invoice.
- Send the invoice. Customers can view it, see their statement and pay by UPI QR in the customer portal, then report the payment reference.
- Record the receipt, including any TDS the customer deducted.
Record purchases and pay vendors
- Raise a purchase order, record the goods receipt and enter the bill. Books checks the three-way match.
- Forward scanned bills to the bill inbox; OCR suggests the vendor, GSTIN and amounts for review.
- Mark input tax credit as eligible, ineligible or blocked.
- Pay vendors singly or in a batch, generate the bank bulk-payment file and deduct TDS where it applies.
Reconcile the bank
- Import a statement from CSV, Excel or PDF. Bank rules categorise routine lines and Books suggests matches for the rest.
- Confirm matches, create entries for unmatched lines and keep the cheque register up to date.
Prepare GST and TDS returns
- Each month, review the GSTR-1 data and export the JSON for upload. Import GSTR-2B and reconcile it with your bills.
- Review the auto-computed GSTR-3B and export it.
- Each quarter, generate the 26Q and 27Q files and validate them with the free FVU utility. Issue Form 16A statements to vendors.
Close the month
- Run recurring journals, depreciation and foreign-currency revaluation.
- Review the profit and loss, balance sheet and trial balance, then set the period lock date.
India specifics
Books supports multiple GSTINs per company, GST returns preparation with JSON export, GSTR-2B reconciliation, e-invoice and e-way bill data as JSON export and import, TDS by section with 26Q and 27Q files, TCS, MSME 45-day payment tracking with interest, and depreciation under both the Companies Act and the Income-tax Act. The edit log required by the Companies (Accounts) Rules is always on. Filing happens on the government portals; direct filing through a GST Suvidha Provider is planned.
